Overview

Oneflow is a contract automation platform designed to make working with contracts feel effortless. By combining creation, negotiation, signing, and post-sign management in service, it helps teams move faster and collaborate smarter.

As part of our AI initiative, I led the UX design of AI Extract, a feature that enables users to upload signed contracts and automatically extract key metadata like participants and lifecycle dates. The experience was designed to be fast, transparent, and correctable, helping users move from static PDFs to structured, actionable contracts with minimal friction.

I worked closely with customers, developers, and stakeholders in customer success to ensure the solution aligned with both user needs and internal goals.

Problem space

Through qualitative research, we found that many users spent significant time manually uploading signed contracts and adding key information field by field. Some teams even delegated this repetitive work to interns. Tasking them with interpreting contract contents, identifying participant roles, and entering dates and durations manually. This process was not only time-consuming and error-prone, but also made archiving feel heavy and unscalable; undermining Oneflow’s core promise of automation and ease in the post-sign workflow.

Solution

We designed AI Extract to automatically identify and pull key information, such as participants and lifecycle dates, from uploaded signed contracts. It was important that the AI-suggested data was presented in a clear, editable format, allowing users to quickly verify or adjust as needed without starting from scratch. This reduced manual entry, increased metadata quality, and made the archiving workflow significantly more scalable.

During the ideation phase, we also recognised the broader potential of this extraction capability. What began as a solution for the import flow evolved into a foundational service that could be leveraged across multiple parts of the product.
